The Harrison County Agricultural Society approved several donations at its August meeting. The first was from the 4-H Committee for $4,070, and the second was from the Tulsa Community Foundation for $2,500. Both were approved unanimously under the treasurer's report, leading to a budget increase of $4,500.
The board also approved payment of a $10,852.50 electric bill for fair setup and repairs, according to Board President Richard Eberhart. A $2,800 water bill was also approved, which members noted was less than expected.
Treasurer Kevin Willoughby updated the board on a recent audit, clarifying that it was “an agreed-upon procedure.” He described some of the steps to verify records, such as email confirmations.
“You think they'd be looking for, like, money, but it's not,” Willoughby said of the email process.
He said the next round would be a full audit, with “good news and bad mixed in,” without offering details. Willoughby said the society is in good shape with bill payments, but following up on deposits may be complicated.
“If you want to keep those camping contracts you have from last year so you'd have them for next year to look back and see, the easiest thing to do would be to make a copy of them right now,” Willoughby said.
Co-Treasurer Brooke Bardall added that any contract — such as for camping, sponsorships or concessions — must have a copy on file. Willoughby noted that every deposit must be supported by a copy of the related contract.
